Terms and Conditions

The renter will

1. Be responsible for advising attendees and ensuring they adhere strictly to all posted regulations. Failure to adhere could result in agreement being revoked without refund of any fees.

2. Provide a competent adult who will personally undertake to be responsible for the observance of regulations governing the facility and equipment.

Liability insurance

3. Provide proof of liability insurance with a minimum $2 million coverage showing RCL #192 as an additional insured. If serving alcohol, a supplemental or separate policy is required. In addition, the renter acknowledges that they have been given a copy of the drinking and driving policy and will adhere to it.

4. If the renter requires a Legion volunteer bartender, the event coordinator/group will negotiate terms with said bartender outside of this contract.

Decoration

5. Do not use staples or tacks, only the hooks provided for decorations.

6. Do not tie streamers to the fans on the ceiling as they may get caught.

7. Use tape only for attaching tablecloths. Staples may leave sharp ends.

8. Do not move the piano. Please request staff assistance.

9. No confetti is allowed in or outside of the hall.

10. Do not attach items permanently to any part of the hall or hallways.

11. If these rules are not followed, you will forfeit your damage deposit.

Clean up

12. Wash all dishes and replace them in their respective cupboards.

13. Commence clean-up prior to 9:00 AM the following day.

14. Dry mop all floors and wash all tables.

15. Remove all garbage from the hall and dispose of it.

16. Stack all tables and chairs at the northwest corner of the hall. Please use dollies to stack tables.

17. Do not leave dollies in the hallways.

18. Pay all janitorial fees for any cleaning not done to the satisfaction of the janitorial staff.

Payment

19. Provide payment of all fees within 48 hours of the event date to guarantee the date and time.

20. Obtain and provide proof of a Special Occasion License as well as a Serving It Right Certificate. A photocopy of the license must be submitted to the branch office at least one week before the rental. Failure to provide licences may result in cancellation of the rental without refund. All liquor must be obtained as authorized by the Special Occasion License from the Liquor Control Board. No other alcohol may be served under the Special Occasion License. The renter is responsible to ensure no minors are served or consume alcoholic beverages. Alcohol is not permitted outside the hall.

Damage

21. Report all damage immediately to the Legion office within 24 hours.

22. Be responsible for and pay for any damage incurred. After the event, the hall will be inspected for damages and cleanliness within 24 hours.

23. Return the facility key to the Legion #192 office no later than noon the following day, or place it in the locked drop box located at the front entrance of the Legion after hours.

Notice of cancellation

24. Call the Legion office at 250-499-5634 to cancel this agreement if you do not plan to use the facility. No refund will be given for less than 48 hours notice unless the facility is rebooked for the same date.

25. The Legion reserves the right to terminate the agreement at any time for veteran services, just cause, and/or to remove persons not complying with the above conditions.
